This article is intended to assist customers with creating their own registration sites.
Initial Steps
- Copy existing site or create a new site on the registration portal.
- On the Event Info tab, add your event Title, Dates and Cutoff Date. Make sure the Event Status is set to "Active" and the Site Mode is set to "Test"
- Review/set the Duplicate registration check, New registration with same email, Require invitation to register settings
- Review/set Email from Name and Email from Email.
- At the bottom of the form, if you are using Invitees, Sleeping Rooms or Sessions, check the appropriate boxes.
Site Style, Images & Setup
- Copy an existing or setup your site style under Templates-Styles advise on recommended banner size of 1000x200px.
- Link the template into the event under Event Info- Style drop down.
- Setup your menus, pages, fields, sessions if applicable. After Reg form is setup, be sure to create confirmation email under Setup-Confirmation-Create Confirmation Text.
Important Tips
- If you change your registration form at any point, you will need to regenerate your confirmation to include changes.
- If using Sleeping Room Block management, before going live you need to setup the hotel, at least one default room type, room block or 1 in inventory if room block is not yet ready.
- If using Sleeping room block management, you must have the "Hotel Room Needed" field on the registration form visible for registrants to pick.
- An email address must be entered on the Event Info tab - Email From Email in order for confirmations to be sent.
- If Importing Invitees, be sure to set fields under Invitee-Fields, download the template under Import-Download Invitee Template. Use this to fill in the data you want to import.
- If importing data, be sure the field values not field text match up with any Drop Down fields you have setup in your reg form. Ex- Prefix field is a drop down of "Mr.", "Mrs.", or "Miss".
- If your setup is set to "No" to Duplicate Registration Check, be sure Edit Registration menu is turned on and confirmation number is displayed on confirmation page/email, along with a link to edit registration page. This will ensure the user can edit their registration.
Invitation Email- If Using Invitees
- Confirm who the email invitation should come from (the reply to email can be another person).
- Send test email to yourself for review.
- Confirm that all email links/buttons work.
Testing & Review
- Proofread all site pages and test all links to ensure they open in new window (except Register Now button).
- Test registration process for all registration types, if applicable. Confirm receipt of and review confirmation email.
- Test all links in the confirmation and confirm user can edit their registration.
Reporting
- Complete the form set up and form fields first. Then create the default report. If you have made changes to your form after you create the default, you will need to re-create the default report.
- Download a sample report to confirm all field values are saving correctly.
Pre-Launch
- Test everything again.
- Delete Test records and change Site Mode on Event Info tab to Live
