Instructions for selecting recipients and sending the RFP. This article covers the following:
Select Send RFP from the RFP Checklist to begin.
This option will become available when all steps in the checklist are complete and suppliers have been selected.
The RFP Mailing Page will pre-populate with your organization's Hotel Global Sales Office contacts and your preference to include On Property contacts or Lead Catchers.
Select Edit to use the Contact List Editor.
Current On-Property and Global Sales Office contacts are shown in the Available Contacts column.
Select a contact to move them to the list of Contacts to be Sent this RFP.
Or select a contact to remove them from the list of Contacts to be Sent this RFP.
Save changes when complete.
Select New to add a new contact for the selected property.
First name, last name and email address are required fields for adding a new contact.
Save changes to add the contact to the RFP.
Select CVB or Hotel Rep Company
The CVBs or Hotel Rep Companies that represent the selected property are shown in the Rep Organizations section. Toggle the organization to ON to add the Rep Contact to the RFP.
Your organization's default contact for the CVB/Hotel Rep company will be added to the RFP. If no default contact exists, a lead catcher or sales contact will be added to receive the RFP.
Note: the CVB/Hotel Rep Company must be included on the RFP Email for the selected property in order to view the response when they log in to Meeting Evolution.
Scroll to the bottom of the page for the Email Form and Send RFP to Suppliers.
Your organization's RFP Email template will be used. Each RFP recipient will receive an email for their hotel(s) and a response link for each property.
